Truck AI Locator Platform
Effective Date: August 12, 2026
1. Overview
This Policy explains what data the Truck AI Locator platform collects, how it is used, stored, and protected, and Client's rights regarding that data. It applies alongside the SaaS Subscription Agreement.
2. Categories of Data Collected

3. Purpose of Processing
Providing core Service functionality (tracking, search, alerts, analytics);
Improving AI models used for location matching and vehicle discovery;
Billing, account management, and customer support;
Security monitoring and fraud prevention;
Compliance with legal obligations.
4. Client's Responsibility for Consent
Client is responsible for ensuring it has the legal right and, where required, the consent of drivers, employees, or other individuals before submitting location or tracking data to the Service. Provider processes such data solely as instructed by Client and does not independently verify consent.
5. Data Storage & Security
Data is encrypted in transit (TLS 1.2+) and at rest (AES-256).
Access to production data is restricted to authorized personnel on a least-privilege basis.
Regular security reviews and access audits are performed.
Data is hosted on reputable cloud infrastructure with redundancy across availability zones.
6. Data Retention
Account and vehicle/inventory data is retained for the duration of the subscription and up to 30 days after termination to allow export, unless a longer period is required by law or requested in writing by Client. Raw location/tracking data is retained for 12 months by default and then aggregated or deleted, unless Client selects a different retention period in the Order Form.
7. Data Sharing
Provider does not sell Client Data. Data may be shared with: sub-processors who help operate the Service (e.g., cloud hosting, mapping/telematics providers) under confidentiality obligations; law enforcement or regulators where legally required; or a successor entity in the event of a merger or acquisition, subject to equivalent privacy protections.
8. Client Rights
Access: Client may request a copy of its data held on the platform at any time.
Correction: Client may correct inaccurate vehicle or account data via the dashboard or by request.
Deletion: Client may request deletion of specific data sets, subject to legal retention requirements.
Portability: Client may export its data in a standard format (CSV/JSON) on request.
9. Cross-Border Transfers
Where data is transferred internationally (e.g., to cloud infrastructure in a different country), Provider uses appropriate safeguards such as standard contractual clauses or equivalent mechanisms required by applicable law.
